Terms And Conditions
Please read our terms and conditions carefully. When booking with Hunter Valley Group Tours it is assumed the customer acknowledges our terms and conditions and agrees to the terms.

General Terms and Conditions:

A valid, government-issued form of ID must be produced at the time of booking. All bookings must be made by someone over the age of 18 years.

All activities advertised on Hunter Valley Group Tours packages are based on the assumption of availability.

In the event of a vendor being fully booked for activities, transport, entertainment etc., we will substitute for another similar activity, transport, or entertainment at no extra cost.

Venues may refuse access if passengers are unable to present valid ID or appear intoxicated. This is at the discretion of the venue, and no refunds will be issued in such instances.

We reserve the right to alter any part of the itinerary in the event that a venue, activity, transportation, etc., is booked out. Clients will be notified of itinerary changes. Extra charges do not apply for changes made by Hunter Valley Group Tours. Additional charges may apply for customer-requested changes.

Guests are expected to be on their best behavior when visiting venues. Hunter Valley Group Tours maintains close relationships with its tour partners and other operators; any complaints of misbehavior that damage our reputation may result in guests being suspended from future bookings.

Fines for failing to wear seatbelts must be paid by the guests.
Pick-Up & Tour Conduct Conditions:

Pick-up and drop-off locations must be confirmed a minimum of 4 weeks before the booking date.

Guests must be at the pickup point at the agreed time. Late arrivals can cause delays and risk cancellation by venues due to no-shows. No refunds will be issued in such instances.

Guests must manage their time during venue stops. Unplanned delays (e.g., toilet stops) that lead to missed bookings will not be refunded.

It is the responsibility of the guests to notify venues or transport providers of late arrivals.

Smoking is not permitted in vehicles or inside venues (including e-cigarettes/vapes).

No BYO food or drink is allowed in venues.

Customers are responsible for any damage caused to venues, activities, or transport.

Transport companies may require a non-refundable deposit or bond.

Obnoxious or intoxicated behavior that disrupts service may result in the tour being stopped. No refunds will be issued in such cases.

Hunter Valley Group Tours may require a non-refundable deposit or bond, which varies depending on the selected package.
-
It is the customer’s responsibility to research and comply with the terms and conditions of all third-party transport, venues, and activity providers.
Pricing & Payment:

All prices are in Australian Dollars (AUD) and include GST.

A deposit is required to secure a booking. A booking is only confirmed once payment is made and proof of payment is provided.

Full payment for private tours is due at least 10 days prior to the package date to allow time for pre-bookings with venues.

We accept payment via Electronic Funds Transfer (EFT).
Cancellation & Refund Policy:

Deposits are non-refundable.
-
Cancellation requests must be submitted in writing (email).
-
A 50% refund (minus non-refundable deposits paid to vendors) is available for cancellations made up to 7 days before the booking date.

No refunds for cancellations made within 7 days of the tour.

Due to high demand and limited availability, cancellations incur costs for us and our vendors.
-
Refunds via OSKO are usually instant but may take 3–5 business days, depending on your bank.

Dates/times cannot be swapped. A $150 rebooking fee applies for rescheduling to cover admin and potential vendor fees.

Reduced group numbers must be advised at least 2 weeks prior to the tour date to receive any refund. The group must still meet the minimum required passenger count.

Guest lateness that results in missed bookings is non-refundable.

It is the guest's responsibility to call venues or transport if they will be late.
Overtime Policy:

Tour durations vary depending on the tour chosen. The Duration for each tour is stated on each tour page. The duration of a tour is determined from pickup to drop-off (e.g., 10am–4pm).

Overtime charges apply after the allocated tour time at $250/hour, plus any applicable vendor overtime fees.

Extra stops (e.g., McDonald’s, smoke or bottle shop breaks) are at the driver’s discretion.

Customers should notify us ahead of time if they anticipate the need for additional stops so we can adjust the itinerary accordingly.
Cleanliness & Damage Policy:

Vehicles or venues left unclean may incur a cleaning fee ranging from $80 to $1000, depending on the severity.

Eating and drinking on vehicles is at the discretion of the transport provider and should be done responsibly.

Smoking in vehicles will result in loss of the deposit and high penalties due to the necessary ozone treatment and detailing.

Guests are liable for any vehicle damage. A $500 administration charge applies in addition to repair costs.
